Accessing zoom events for the ContentEd conference
A quick guide for delegates, speakers, volunteers and hosts

The ContentEd conference runs using the zoom events platform. For the best platform experience, be sure to install the latest version of the zoom workplace app before the conference. You’ll receive your own unique event invitation to the platform before the event.

Before the event: download the latest zoom app

Download or update to the latest Zoom Workplace app before the conference. It’s the easiest way to join, helps you avoid last-minute technical problems, and ensures that you can join in with everything on the programme, such as breakout room discussions which are only available with the app.

Download Zoom Workplace for your computer, phone or tablet

  • If you’re speaking, chairing or supporting sessions, use the desktop app on a computer. Browser-only access doesn’t support backstage for panellists/speakers.

  • If your work device needs IT approval to install or update Zoom, arrange this in advance.

  • Keep your own ContentEd invitation somewhere easy to find.

  • Complete any registration or verification steps before the event, rather than waiting until your first session starts.

  • Don’t forward your personal joining link to anyone else.

Joining as a delegate

The main event lobby opens on 2 November 2026, although you may have received your event invite before this date. After 2 November you’ll be able to enter the lobby for the event and browse the programme in zoom events.

  1. Open your ContentEd invitation or confirmation email from Zoom Events (ContentEd team) and follow its registration or joining link.

  2. You must use the email address that your place was registered with. If you’re asked to sign in, use the Zoom account for that address. If you’re offered an email verification code instead, follow that route. Be careful if you have a zoom account registered to a different email address: if you do, and you are logged into it, you will need to log out of that account for your event access to work.

  3. Once you’re in the event, find the sessions that you want to attend and join them at the start times. It’s best to open those sessions in the Zoom app when prompted instead of watching them in your web browser. If you stay in the web browser, functionality like joining breakout rooms for discussions won’t be available to you.

Please note: your zoom joining link is unique to you and your email address. Do not share your zoom joining link with anyone else.

Joining as a speaker or chair

  • Open your ContentEd event invitation and follow the joining instructions using the email address we invited.

  • In the event lobby, find your session and select “Join” or “Join backstage” when it becomes available. Open it in the Zoom desktop app to enter the backstage area and meet your chair and event support volunteer. You must use the app to enter the backstage area as this will not work in the desktop version of the platform. The link from the web browser lobby will ask if you want to open the session in the app. Select yes.

  • Check your session briefing for when to arrive and whether you’ll join backstage. Allow time to check your microphone, camera and slides where needed. If your session isn’t joinable yet, wait for it to open; contact the team (hello@contentedlive.com or use the WhatsApp group info provided to you by email) if it’s still unavailable at your expected joining time.

  • Your speaker pass also lets you attend the rest of the conference. You don’t need to buy a separate delegate ticket. You can watch the rest of the conference using the same access information.

Joining as a volunteer or host

  • Enter ContentEd using your event invitation and follow the joining instructions supplied by Rich or Tracy for your assigned sessions.

  • Use the desktop app.

  • Being able to watch a session as a delegate doesn’t mean you have the permissions to run it. Please only support sessions that you’re assigned to, and just sit back and enjoy the rest!

  • Check your assigned sessions and role before your shift.

  • You will need a Zoom account using the same email that we have invited you with. You can use a free account. Follow your invitation’s sign-in instructions and check with Rich or Tracy if your host, co-host or backstage controls are missing.

  • Use your session guide for what to do once you’re in.

  • Find further information about running different sessions in the Volunteer hub (password protected)

If you have not received your zoom invitation

  • Please allow 24 hours after booking for us to add you to Zoom events and send your invitation. We aim to import new bookings once a day. This may be more frequent in the final days before the event.

  • Check your inbox and junk or spam folders for ContentEd or Zoom Events. Invitations may come from noreply-zoomevents@zoom.us. Check the email address used for your booking too.

  • If it’s been more than 24 hours since you booked and you still can’t find your invitation, complete the missing-invitation form on this page so we can check your access.

If you’re using an institutional pass, also check that the colleague managing the booking has sent us your name and email address.

A quick fix if something is not working

  • Your ticket isn’t recognised: check whether your browser or Zoom app is signed in with a different email address. Switch to the invited account and reopen your own joining link.

  • You can watch, but your speaker or volunteer controls are missing: check that you entered using your invited email or account. Contact the support team (hello@contentedlive.com or via the WhatsApp group chat - invite sent privately) with your session name and that email address so they can check your session assignment and role.

  • Still stuck joining? Read Zoom’s joining guidance or contact hello@contentedlive.com.
